The Financial Archaeology Scramble

Most business owners have a love–hate relationship with taxes. Mostly hate. We’ve heard founders say taxes give them anxiety. They force you to stare at your numbers. They eat up time you’d rather spend running the business. And honestly? Some of that is true.

But what we’ve found is that those frustrations get ten times worse because of one thing: The scramble. Receipts live in inboxes. Expenses are scattered across cards. Revenue sits in Stripe, PayPal, and three different spreadsheets.

So, when tax season arrives, founders end up doing financial archaeology. You start digging for documents you know exist somewhere. Then the first email from your accountant lands sometime after New Year’s. And the dread begins.

3 Tactical Moves Before Tax Prep

The good news?
Fixing the scramble doesn’t require perfect books. It just requires a simple system before tax season hits.

1️⃣ Create a single “Tax Prep” folder

Drop in:

  • Profit & Loss statement

  • Bank statements

  • Credit card summaries

  • Payroll reports

  • Large purchase receipts

2️⃣ Write down the “big financial events”

Send your accountant a short list of anything unusual this year:

  • Loans or credit lines 💳

  • Large equipment purchases

  • Contractor spikes

  • Owner payouts

  • Major revenue swings 📈

3️⃣ Respond Proportionally

If personal expenses mix with business ones, taxes get messy fast.

Draw a hard line:
Business card → business only.
Personal card → personal only.

It makes deductions cleaner and audits far less stressful.
